Vail Golf and Nordic Clubhouse Wedding Transportation

Eight parking spaces for 160 guests

That is the number that decides everything at the Vail Golf and Nordic Clubhouse. The Gore Range Room rental comes with eight on site spots. The clubhouse holds 160 guests in every format, and it sits at 1775 Sunburst Drive, a residential street in the golf course neighborhood of East Vail. Most of those 160 are sleeping in Vail Village hotels about a mile and a half west. Nearly all of them need a ride.

The building is run by the Vail Recreation District and is a proper public golf clubhouse: the Gore Range Room, banquet and reception rooms, a ceremony lawn, a patio, and Wedding Island, a spot on the pond that you reach over an arched footbridge. Indoors it books year round. The island is off the table in winter.

Sunburst Drive and the Ford Park stretch

From the village the drive is east on Vail Valley Drive, past Ford Park, then into the neighborhood and onto Sunburst Drive. About five minutes on a normal evening. On a night when the Gerald R. Ford Amphitheater has a show, that stretch past the park crawls, and we check the amphitheater calendar against your date before we promise a loop time.

Sunburst Drive is lined with houses. We stage on the clubhouse loop and do not sit on the street with the engine running. Vendors are fighting for the same eight spots, so we work out with your planner when the loop needs to be clear for the vans to pull in and when it needs to be clear for the caterer. The wedding party gets to the island by golf cart, which the venue provides. Our part ends at the loop.

Honest note on history: we have driven to the clubhouse only a handful of times, on hotel and airport runs since 2022, so this is not a property we know the way we know the big Vail hotels. The road is simple, though, and the amphitheater timing is the only trap.

Midnight, and the hour before it

Events here must end by midnight, inside a 10 to 12 hour access window. The ride back to the village is short, so the return does not need a big fleet, it needs a steady one. For a full 160 guest wedding with everyone in Vail Village and Lionshead, three Sprinters looping continuously will clear the clubhouse in about 45 minutes. We start that loop around 90 minutes before the close for the early leavers and run a last sweep after the lights come up.

Arrivals mirror it. If the ceremony is on the lawn, the same three vans bring guests out from the hotels in two rounds. If the ceremony is across town at the Vail Interfaith Chapel, we park the vans on Vail Road as the service ends and loop to Sunburst Drive until the chapel is empty, which takes about an hour for 150 people.

A room block in Avon or Beaver Creek changes the math, since those are 20 and 25 minute rides each way rather than five. One Sprinter on fixed departure times in each direction covers it. Guests landing at Eagle County are about 45 minutes from the clubhouse, and we bring them to their hotel rather than the venue.

All of our vans and SUVs are all wheel drive, which an indoor winter wedding on Sunburst Drive will use. Send us the guest count, the hotels and whether the ceremony is on site or at the chapel, and we will size the loop. The fastest route to a price is to request an event quote, and the wedding transportation page covers how the loops are priced. For guests driving up from Denver, see Denver Airport to Vail.
