The Sebastian Vail Wedding Transportation
The Sebastian Vail is at 16 Vail Road and the Vail Interfaith Chapel is at 19. They face each other across the street. If your ceremony is in the chapel and your reception is in the Ariel Ballroom, there is no shuttle leg between them, and the budget for one is better spent elsewhere. The transportation question at The Sebastian is about everything else: the guests lodged outside Vail Village, and the people flying in.
A front door you can actually drive to
Most of Vail Village is closed to cars. Vail Road is the exception, which is why four venues cluster on it: The Sebastian, the Sonnenalp, the Four Seasons at the roundabout and the Vail Interfaith Chapel. Our drivers come off the main Vail Village roundabout onto Vail Road and pull into the hotel's porte cochere, where the valet staff are. We have made that turn more than 50 times since 2021, mostly bringing hotel guests in from the airports, so it is a familiar drop.
The porte cochere is sized for cars and vans, not coaches. We run Mercedes Sprinter vans for groups of up to 14 and SUVs for smaller parties, all wheel drive, and that is the right scale for this street. There is nowhere for a bus to wait on Vail Road, and nowhere for us to wait either, so vehicles drop and leave rather than idling at the door.
Saturdays when three events load on one street
In peak summer The Sebastian, the Sonnenalp and the chapel can all have something on the same afternoon, which puts a lot of arrivals on a short stretch of road. We set your pickup windows so your vans are not pulling in while another wedding's are. It sounds small. On a busy Saturday it is the difference between a clean arrival and a line of vehicles backed up to the roundabout.
How many vans the Ariel Ballroom needs
The Ariel Ballroom seats 288 for dinner and holds 330 for cocktails; the Mountain View Terrace takes 80 seated or 150 standing for a ceremony. Published guest ranges run from 10 up to 300, and the hotel sells all inclusive packages year round. Guests staying at The Sebastian walk to all of it.
Guests who book elsewhere in the valley, in Lionshead, Cascade Village, Avon or Beaver Creek, ride in. Avon is about 15 minutes out and Beaver Creek Village about 20. For a reception of 250 with roughly 100 guests outside the village, three Sprinters each making two trips, starting about 90 minutes before the ceremony, gets everyone seated, and the same three run an open loop back to the hotels through the last hour of the party with a final sweep after the band stops. Eagle County Airport is about 40 minutes away, and those transfers come straight to the porte cochere.
Send us the ceremony time, the hotels and a rough headcount at each and we will come back with a schedule. Ready when you are: request an event quote, read how our wedding transportation works across a whole weekend, or start with the Denver Airport to Vail lane for your arrivals.
